Don’t Be Busy: Be Productive

“Hi, sorry, I can’t talk right now. I am far too busy.” How many times have you heard that from a client, friend or family member? How many times have you said those very words yourself? Do you take pride in announcing, “I can’t do XYZ because I am just too busy?”

Chris Brogan recently sent an email that talked about this very topic. Being too busy shouldn’t be a mark of pride or honor, being too busy is a sign that you’re not focused. I wish I could say I were perfect in that I don’t ever use “too busy” as a reason to not do something. I am getting better. Breast cancer does that to a person. You don’t want to “be too busy” your life away.

If you find yourself telling friends, family and colleagues you would love to do XYZ, but just can’t find the time, here are some tips to help you be productive, not just busy:

You need to be focused. For as focused as I am on my daily tasks and to-dos if I don’t write something down on my list, chances are it will not get done. Why? Not because it’s not important, but because I may have lost my focus. Entrepreneurs need to focus not only on what’s happening today, this week, this month, but long term. Write down your goals and then work backwards to put timelines and deadlines to them. You don’t want to face deadlines as if they were a trek up Mount Everest, but rather as something you’re taking baby steps every day to meet.

Embrace technology. Even though entrepreneurs are bombarded daily with tasks they simply must get done, it doesn’t mean you have to do it all by yourself. Embrace the technologies that are available that range from social media scheduling programs such as Sprout Social and Hootsuite, but the calendar inside your blogging program to the apps on your phone to cloud-based storage and work programs such as Trello and Evernote.

Pick up the phone. Yes, email and texts are convenient, but stop to think about how much time you waste, um I mean, spend sending emails and texts back and forth before you wrap it up. Chances are, you could have picked up the telephone, had the conversation and viola you talk it through and it’s over and done with in much less time than the back and forth e-communications took.

If you’re “too busy” what that really means, bottom line, is that you are unorganized. Take steps today to regain control get “un-busy” and become more productive.
